To make a Reservation

In order to benefit from the above mentioned rates, reservation requests have to be submitted and handled exclusively by MCI.

Reservation requests have to be submitted to the Organising Secretariat in the two following ways:

• by secure online registration and payment; please click here to book online
  Please note that in order to book online, you have to do it at the same time as your registration and you need pay by credit card (VISA, MASTERCARD, EUROCARD, AMERICAN EXPRESS).
  
• by fax or post: in this case, the hardcopy registration form needs to be completed and sent to the Organising Secretariat accompanied by your payment.

Reservation Procedure

• A two-night deposit is requested to guarantee your reservation. Deposit to MCI will have to be made in Euros only. No deposit payments in ZAR or US$ will be accepted.
• A fixed charge of 20 € per reservation for handling fees will be required for all hotel reservations.
• The deposit will be deducted from your total hotel bill upon check-out.
• “No Shows” on the first night will automatically cancel the entire reservation, involve the loss of the entire deposit; hotels reserve the right to charge you also for the remaining cancelled nights uncovered by the pre-paid deposit.
• if you shorten your stay, hotels reserve the right to charge you for the balance of your stay.

Confirmation

Upon receipt of your hotel reservation request, MCI will mail you an invoice/confirmation letter summarizing accommodation details and specifying payment status.

Cancellation Policy

Cancellations must be notified in writing (by e-mail or fax BUT NOT e-mail) to the Organising Secretariat and are subject to the following conditions:

• Up to Friday, August 17^th 2007: 100 € will be withheld for administrative fee.
• After Friday, August 17^th 2007, no refunds will be issued.

NO DEPOSIT REFUNDS WILL BE ISSUED FOR CANCELLATION OR NO-SHOW DUE TO FAILURE TO OBTAIN A VISA.

Individual Account

All guests will be responsible for their own accommodation and incidental charges which are to be settled upon departure from the hotel.
