GENERAL FORUM INFORMATION

ON-SITE SECRETARIAT

The on-site secretariat and Welcome Desk will be open at the following times:

  • Tuesday, 23rd October 2007 from 10:00 am to 6:00 pm
  • Wednesday, 24th October 2007 from 7:30 am to 6:00 pm
  • Thursday, 25th October 2007 from 7:30 am to 6:00 pm
  • Friday, 26th October 2007 from 7:45 am to 4:30 pm

The Welcome desks are located in the Registration Foyer of the CTICC.

FORUM REGISTRATION FEES INCLUDES:

  • Admission to all Forum sessions which are held on Wednesday, 24th - Friday, 26th October 2007
  • Access to the Exhibition
  • Name badge and documentation bag
  • Simultaneous interpretation in 4 languages (English and French on Day 1-3; Japanese and Spanish on Day 2-3)
  • CD ROM with Conference proceedings
  • 3 working lunches and 4 coffee breaks
  • An invitation to the Welcome Reception and the Gala Dinner
  • An invitation to the WLPGA Members’ Dinner (for WLPGA Member Representatives only)

SPOUSE'S REGISTRATION FEES INCLUDE:

  • Admission to the Exhibition area
  • Name badge
  • An invitation to the Welcome Reception and the Gala Dinner
  • An invitation to the WLPGA Members’ Dinner (for Spouses of WLPGA Member Representatives only)

PAYMENT

World LP Gas Communication SARL (VAT N° FR 9042 1213893, headquartered at 9 rue Anatole de la Forge - 75017, Paris, France) has given mandate to MCI for the organisation of the 20th World LP Gas Forum and therefore to act and receive the fees on its behalf.

Payment of the registration fees may be either by:

  • Credit card (VISA / MASTERCARD / EUROCARD/ AMERICAN EXPRESS)
  • Cheque to the order of 20th World LP Gas Forum / MCI
  • Cash (in ZAR only)

ACCOMMODATION

For any questions on accommodation, please contact the Welcome Desk, at the Registration Foyer.

Please remember :

  • All guests will be responsible for their own accommodation and incidental charges which are to be settled upon departure from the hotel.
  • “No Shows” on the first night will automatically cancel the entire reservation and involve the loss of the entire deposit; hotels reserve the right to charge you also for the remaining cancelled nights uncovered by the pre-paid deposit.
  • If you shorten your stay, hotels reserve the right to charge you for the balance of your stay.

CANCELLATION POLICY

Cancellations must be notified in writing (by mail or fax BUT NOT email) to the Organising Secretariat and are subject to the following conditions:

  • Up to Friday, August 17th 2007: 100 € withheld for administrative fee.
  • After Friday, August 17th 2007, no refunds issued.
  • NO REGISTRATION FEE or HOTEL DEPOSIT REFUNDS WILL BE ISSUED FOR CANCELLATION or NON-ATTENDANCE DUE TO FAILURE TO OBTAIN A VISA.

BADGES

A name badge is provided with your registration documents upon the arrival at the Forum Welcome Desk. The wearing of this badge is compulsory both inside the Conference rooms and sessions and at all events organised within the context of the Forum.

Colour Codes are the following:

  • BLUE: Forum attendee
  • WHITE: Wednesday sessions only (reserved to LPGSASA members)
  • ORANGE: Spouse
  • YELLOW: Press
  • RED: Exhibitor
  • GREEN: Exhibition visitor
  • BLACK: Organisation

CELLULAR PHONES

Participants are kindly requested to turn off their mobile phone when entering the Conference rooms.

CLOAKROOM

A cloakroom, located in the Welcome Desk area, is at the Conference attendees and vistors disposal during the Conference and exhibition hours.

DRESS CODE

The dress code for the various evening events is business attire.

LANGUAGES

There will be simultaneous interpretation for the Forum in 4 languages (English and French on Day 1-3; Japanese and Spanish on Day 2-3). The documents edited for the Forum will be in English.

LUNCHES AND COFFEE BREAKS

Lunches will be served in the Cape Town International Convention Centre main dining rooms as follows:

  • BUSINESS LUNCH 24th October: ROOF TERRACE
  • BUSINESS LUNCH 25th and 26th October: STRELITZIA CONSERVATORY AND RESTAURANT

All coffee breaks will be served within the Exhibition area (Ballroom East).

PHOTOS

Photos taken by the official photographer of the Forum will be made available on the Forum web site (www.wlpgasforum2007.com) at the end of the event.

Participants will then be able to view them online and download them at no charge.

PREVIEW ROOM

All speakers are requested to deposit and check their Powerpoint presentation at the SPEAKERS’ PREVIEW ROOM located in ROOM 1.61.

It opens on TUESDAY, 23rd OCTOBER 2007 at 10:00 am.

TRANSPORTATION

The organisers will provide participants with complimentary:

  • Airport Transportation
  • The Organisers will be providing a shuttle service from Cape Town International Airport to the forum official hotels:

    • Arabella Sheraton Grand Hotel
    • SouthernSun Waterfront Hotel
    • Southern Sun Cullinan Hotel
    • City Lodge Hotel

    This shuttle will operate on the 23rd and 24th October 2007 and between the time slots of 8h00 and 20h00.
    Shuttles will depart from Cape Town International Airport International Arrivals Hall and the Domestic Arrivals Hall. 

    Friendly staff will assist you with locating the shuttles. 

    These shuttles will depart from the airport on an hourly basis every hour on the hour.

    Should you arrive earlier or later than the time slots and days indicated above and you wish to secure a private transfer, you can contact the forum local agent who will be assist you in arranging this for you.

    REMEMBER : October is high season and to avoid disappointment, please book and secure this service timeously.

VISA

All participants, exhibitors, visitors are reminded that a visa may be required for foreign citizens entering
South Africa and that they should apply for a visa at their local South African consulate or embassy.
To determine whether you require a visa to enter South Africa, visit the comprehensive South African Home Affairs Department website at:

Should you need an official invitation letter for visa application purposes, you may contact the Organising Secretariat who will be able to assist you with it. Any cost for the sending of official invitation letter will be supported by the participant.
NO refunds of agreed registration fees and hotel deposit paid will be issued for cancellation or non-attendance due to failure to obtain a visa.
